Who is responsible
Night Beats Almere (Night Beats), Almere, Netherlands, decides how the details described here are used. Contact us at info@nightbeats.nl for anything in this notice, including a request to see, correct or delete your details.
What this site does
Most of the Night Beats website is static: it stores nothing about you. The artist application form is the exception. When you submit it, your answers are stored by Night Beats so a person can review them. Every other form on this site still hands your details to your own email app instead of storing them.
Artist applications
What we collect
Your name, any artist or stage name, email address, city and country, the artist types you choose, whether you are 18 or older, your genres and a description of your sound, the links you give us, what you are interested in, your experience level and any optional notes about performance context, setup or travel. We also record that you acknowledged this notice, and when.
We do not ask for your date of birth, address, phone number, identity documents or bank details at application time, and we do not accept file uploads. We never fetch or open the links you submit automatically; a person opens them deliberately when reviewing your application.
Why we use it
To review your application, to consider you for relevant Night Beats events, Sessions, collaborations and releases, and to contact you about your application or a specific opportunity. Joining the talent pool is not a booking. Marketing updates are a separate, optional choice and are never bundled into this permission.
The legal basis
Night Beats is confirming the lawful basis for this processing with an adviser and will publish it here as soon as it is settled. We would rather flag that than name a basis nobody has decided. In the meantime you can ask us to delete your application at any time by emailing info@nightbeats.nlwith your reference, and we will do so.
Who else handles it
Amazon Web Services hosts this website and the application backend. Your application is stored in Amazon DynamoDB in the eu-west-1 region (Ireland, in the EU), processed by AWS Lambda and Amazon API Gateway, and the receipt and internal notification emails are sent through Amazon SES. Amazon CloudFront and Amazon S3 serve the pages. Our own inbox provider handles the curation mailbox atinfo@nightbeats.nl. We do not sell your details, and we do not send them to advertising or analytics services.
Your answers are stored and processed inside the EU. AWS is a global company and may access systems from outside the European Economic Area for support purposes under its data processing terms and the European Commission's standard contractual clauses.
How long we keep it
| What | How long |
|---|---|
| An application under review | Until a decision, plus operational follow-up |
| An application in the talent pool | 12 months from your last meaningful contact with us, then we ask you to renew or we delete it |
| A closed application | Deleted 90 days after closure |
| A withdrawn application | Deleted promptly after we confirm your request |
| Spam and rate-limit signals | Up to 30 days, then deleted automatically |
| Server logs | 30 days. They never contain your answers, email address or links |
We aim to send you a first update within 14 days. That is a service target, not a guarantee.
Decisions are made by people
No automated system decides whether you join the talent pool or are invited to an opportunity. We do not rank you, score you, or use your follower count as a gate. A person listens and decides.
Your choices
You can ask what we hold about you, correct it, ask us to delete it, ask us to restrict or object to how we use it, or ask for a copy. Email info@nightbeats.nl and include your application reference if you have one. To leave the talent pool at any time, reply to any of our emails with your reference and ask us to withdraw your application.
If you are not satisfied with how we handle your request, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
Your browser
While you are filling in the application, your browser keeps a temporary copy of your answers so a failed submission or a page refresh does not lose your work. That copy stays on your device, is cleared when your application is stored, and is never sent anywhere except when you submit the form.
Other forms on this site
Membership, partner and pilot enquiries are not stored by the website. Those forms check your details and then hand them to your own email app, so your email provider handles the message. Night Beats uses details you send to respond to your enquiry and, where you explicitly consent, to consider you for relevant events, Sessions, collaborations, membership updates or pilot activity.
Analytics
We never send your name, email address, free text, links or application reference to analytics. We only count anonymous events such as "an application was started" or "a submission failed".
Still being confirmed
We would rather flag an unfinished decision than publish a confident sentence we cannot stand behind.
